An invoice in a minute – no software, no sign-up

A client wants an invoice for their session package, an employer is reimbursing an employee's training, or a client pays through their own business. If you only send invoices now and then, paying for invoicing software isn't worth it – and an invoice made in Word looks like it was made in Word. The generator below gives you a clean PDF invoice in a minute. It works for trainers in the US, the UK and Ireland, among other countries. Your details are remembered only by your browser – nothing is sent to a server.

What an invoice needs to include

The exact rules vary by country, but the basics are similar everywhere. Based on the country you choose, the generator adds the right labels (for example, IČO and DIČ in Slovakia, Steuernummer in Germany or SIRET in France) along with the required note for businesses that aren't registered for VAT.

• Your details and the client's – name or business name, address and any ID numbers.
• Invoice number – unique and sequential. The generator bumps it up automatically after each invoice.
• Dates – the issue date, the date of service and the due date.
• Items and total – what the client is paying for, quantity, price and the total amount.
• VAT – if you're registered, the rate and the tax amount; if not, a note saying you're not registered for VAT.
• Payment details – your account number (IBAN), plus the variable symbol in Slovakia and the Czech Republic.

When a PDF invoice isn't enough

In most countries, a PDF invoice for a private client is perfectly fine. Some countries, however, require invoices to go through a government system or certified software – for example Italy (e-invoices through SdI), Portugal (certified software or the tax authority's portal) and Brazil (NFS-e electronic invoices). For these countries, the generator creates a payment receipt instead of an invoice.

Watch out with invoices for businesses, too: in Poland, business invoices are gradually moving to the KSeF system, and Slovakia is introducing mandatory e-invoicing between VAT-registered businesses from 2027. Invoices for private individuals aren't affected by these changes for now. The generator isn't tax advice – if you're unsure, ask your accountant.

Tips for getting paid faster

• Send the invoice right away – on the day you sell the package, not at the end of the month.
• Keep payment terms short – 7 days is plenty for private clients.
• Use a clear line item – "Package – 10 personal training sessions" beats "Services".
• Keep a copy – save every invoice you send; you'll need it at tax time.
